User Guide Introduction

Thank you for arriving at our online USER GUIDE section. Although IBOS was designed to be intuitive and easy to use, we recognize the need to provide guided instruction and clarification for each of the system features and functions to make each and every visit to our online system productive and efficient.

Products Page - System Layout

You will also note that this page is formatted into three column sections:

  • The left column displays our various product categories available for viewing, product selection and ordering.
  • The middle section includes a greeting and will contain new messages describing news of interest to our customers.
  • The third column on the right of this page will continually display products that are specifically selected for promotion. These may include new products, sale products, clearance and promotional items.

Registration & Login

Our new online system is designed to let you view and shop online anytime of day or night. For our professional trade customers, additional capabilities support online quote and job creation as well as online order transmission and delivery to a job site.

In order to interact with the system, each customer must identify him/her self to the system. All activity associated with your account is governed and protected by your unique Username and Password.

Instructions for Self-Registration

1. Go to www.horsfords.com (choose the store you are accessing information for)

2. Click login

3. Click the link titled: "If you currently have an Account you can request an online login and password now!"

4. From there, you will go to the self-registration screen. You need three pieces of information from your statement to register:

  • Customer Number
  • Customer Name
  • Customer Zip Code

**Please enter these items EXACTLY as found on your statement. 

4. If your information is accepted, you will be prompted to create a username and password. If you information is not accepted, please give us a call.

5. If accepted, you will create a username that you will use each time you visit us online. Please make sure to write down your username and password. The form also requires other contact information such as your telephone number.

**Please note, you may create multiple user accounts for your company, so there is no need to share your username and password with other employees.

Once you click submit, you will be brought into the new site where we've already loaded your account information into the system and you will have immediate access to your account information, quote and order capabilities.

Shared Account Usage (Multi-user access)

Please note that the system can accommodate multi-user access to your online account. Each user would go to the Current Account Holder section and input the customer #, address and zip code of the account. When prompted for Username and Password, each new user should identify them selves with their own unique email address, name and password information.

Product Catalog & Shopping Cart

By clicking on the Products tab in the site header you can gain access to our entire product inventory.

Shopping Cart Features

The shopping cart feature works the same for the creation of a quote or an order.

You select items to place into your cart by inserting an amount for each line item you wish to order.

Once you've made your selections, you must click the Add to Cart button to record your order quantities in the system. Once you've input your quantities and clicked, Add to Cart button, you have several options available such as to save as a quote, or continue shopping.

Searching for Products

You can search all products by using the search feature.  The search results include both items and categories of items if your keyword is included in that category. Also, all keywords are AND together.  Thus, searching on Round MDF will return all results that contain ROUND AND MDF.

Creating an Online Quote

By selecting the Save as Quote button on the cart screen you will be brought to the following screen display called Save Shopping Cart as a Quote. This page provides you with the ability to create a new Job and enter details about the job, or if you have built a job previous, you can select and apply the quote to the Job name and proceed with your quote creation. Tip: The use of Job names, descriptions and details will make it easier to find and locate quotes and orders, days, weeks and months after you have created them!

Your Quote Folder

Your quote folder displays all quotes you have created and provides a ready access to information any time of day or night.  Once stored in your folder, you can retrieve it, print it, delete it or convert it to an order by selecting the Open as Cart button. You will also note the line beneath of your quote detail, Display all quotes within my company.  By clicking this box, you will be able to view all quotes created by you and/or other members of your company who you have authorized to use your account (multi-user support).

Please note that by clicking on a quote you also have the option to print the quote on your PCs printer.

Creating an Online Order

Creating an online order is similar to creating a quote, except that you are requesting _____________________. to take action to process and fulfill your order and prepare it for yard pick-up or shipment to a delivery address. To process a shopping cart as an order, all you need do is click the Checkout button on the cart page.  Doing so will take you to a Shipping Instruction page.  You may also select a preferred future delivery date (optionally).

Order Detail & Shipping Detail (optional)

An optional order screen is available to allow you to enter a customer Purchase Order Number, name of the person requesting order placement and a text entry box to input detailed information concerning delivery and instructions for the order.

Confirming an Online Order

Once you’ve completed all of your entries and selections, you can review your order to ensure that it has all the correct information prior to transmitting it.  A description text box is provided so you can input information to identify the order easily.  At this point, you can cancel or submit the order.

The moment you submit your online order, the order will be placed into your order folder and the system will generate an electronic mail acknowledgement back to your email account.  We will review and process the order upon receipt, pick, and pack and avail your order for pick-up or delivery as per your request.

If you need to be contacted about any aspect of the order, we will contact you by phone or email to discuss the issue with you for clarification.  Once the order is processed, the system will return an order confirmation to you via electronic mail and your Order folder will be updated with a generated system Order number back to you for tracking.

Account Services

By clicking on the Account Services tab at the top of each page of the site, you can access the following information as shown on the screen. You can view and print invoices, statements, quotes and orders and access up- to-date account information any time you desire.

  • Quotes Section - All quotes can be revised into an order, updated to current pricing, revised with new products
  • Orders - All orders preformed on the web site appear under the Orders tab
  • Invoices - Current, unpaid invoices, appear in the Invoice tab
  • Statements - Statements included all unpaid and paid invoices, balances and payment history
  • Job Information - Job information is stored and edited under Job tab
  • User Profile - Change your user profile and passwords under the User Profile Tab
